Welcome to Klariti’s primer on how to use AI to write contract plans. Over the last twenty years, we’ve developed a series of templates and forms for this area, which you can download from our template store here. 

With the arrival of AI, we’re now going to show you how to use ‘prompts’ to refine the material in your contract plans so that the material is more concise, relevant, and tailored to your own specific use case. 

Before I start, I’d highly recommend to read the prompts writing tutorials on the site and the Getting Started with Google NotebookLM Guide. In the MS Word template for Contract Management Planning, we include sections for the following. Let’s go through some of these sections, so you get a feel for how to craft more useful prompts.

Part 1: Researching and Drafting Contract Plans with AI

Opening: The Pain of Starting from Scratch

Have you ever stared at a blank document, unsure where to begin with your Contract Management Plan?

You know the template (like the one you just reviewed), but filling it with high-quality, compliant, and structured content is time-consuming.

What if AI could help you research, draft, and refine each section—so you don’t have to start from zero?

In this tutorial, I’ll show you how I use AI to:

  • Quickly generate structured drafts for each chapter.

  • Refine language to match industry standards.

  • Ensure compliance with legal and organizational policies.

Let’s get started.

Scenario: Why AI Accelerates Contract Planning

Manually drafting a Contract Management Plan involves:

  • Researching regulations and best practices.

  • Writing clear, consistent policies.

  • Aligning with stakeholders (Legal, Procurement, PMO).

A common pitfall? Spending hours on Section 4 (Conflict of Interest Management) only to realize the language isn’t precise enough for auditors. AI can help you avoid this by:

  1. Generating compliant drafts (e.g., conflict-of-interest clauses).

  2. Flagging gaps (e.g., missing monitoring procedures).

  3. Adapting to feedback (e.g., refining approval workflows).

Solution: AI Prompts for Research & Drafting

Here’s how I use AI at each stage:

1. Simple Prompts (Getting Started)

Use these to generate rough drafts for sections like the Introduction or Scope.

  • *”Draft a 3-paragraph Purpose section for a Contract Management Plan, emphasizing compliance and deliverable tracking.”*

  • “List 5 key items to include in the Scope section for a government IT project contract.”

2. Intermediate Prompts (Adding Depth)

For sections like Roles and Responsibilities or Conflict of Interest Management (Chapter 4):

  • “Generate a table of internal project roles (Project Manager, Contract Manager, etc.) with responsibilities, email, and phone contact fields.”

  • *”Write a step-by-step process for identifying conflicts of interest, including Form 700 submissions and ethical review steps.”*

3. Complex Prompts (Tailoring to Standards)

For Amendments (Chapter 7) or Closeout Activities (Chapter 9), add constraints:

  • *”Draft a Change Request Process for a federal contract, including DGS approval requirements and a 5-week max timeline.”*

  • “Create a contractor evaluation checklist for final closeout, referencing DGS STD 4 and lessons learned documentation.”

Tip: I treat AI like a collaborator—not a search engine. If a draft isn’t quite right, I’ll say:
“Revise this section to align with California Prompt Payment Act requirements for invoice processing.”
