Drafting Comprehensive Change Request Forms (CRFs): Translating a bug report, feature enhancement idea, or stakeholder request into a well-structured CRF is crucial for proper assessment.
How I Use It: I feed the AI the source information (e.g., bug report details, meeting notes outlining a feature tweak, user feedback).
Prompt Example:
"Based on the following bug report details [Paste bug ID, summary, steps to reproduce, severity], draft a formal Change Request Form. Include sections for Change Description, Justification/Business Need, Proposed Solution (if known), Estimated Impact (requesting input), and Priority Suggestion based on severity."
Deeper Impact: This ensures key information isn’t missed. For a complex bug fix request, the AI helped structure the CRF clearly, prompting sections for impact on related modules, required testing scope, and potential rollback procedures – details easily overlooked when drafting manually under pressure. It standardizes the input for the change control process.

Analyzing and Summarizing Change Impact: Assessing the potential ripple effects of a change is critical for the Change Control Board (CCB) or decision-makers.
How I Use It: I provide the AI with the CRF details and potentially relevant context like system architecture diagrams (described in text), requirements documents, or existing test cases.
Prompt Example:
"Analyze this Change Request [Paste CRF description] concerning the user authentication module. Based on the attached system overview [describe relevant components] and list of related test cases [list relevant test case IDs/names], identify potential areas of impact (e.g., other modules, performance, security, documentation, test scope) that need consideration during the impact assessment phase for the Change Control Log entry."
Deeper Impact: Recently, for a change impacting a shared library, the AI highlighted potential impacts on three other applications using that library – something not immediately obvious to the requesting team. This prompted a broader impact assessment, preventing potential regressions elsewhere. It helps ensure the “Impact Assessment” section of the Change Control Log is more than just a guess.

Populating Change Logs and Registers from Various Sources: Consolidating change information scattered across emails, meeting minutes, or different tracking systems is tedious.
How I Use It: I provide transcripts or notes containing discussions about changes.
Prompt Example:
"Extract all decisions related to change requests from the following CCB meeting minutes [Paste minutes]. For each approved/rejected change, identify the Change ID, Decision, Decision Date, and any specific implementation notes or required actions to update the Change Register and Change History Log."

- Treat AI-generated summaries for CCB review as starting points, refining them with specific project context and risk appetite.
- Regularly audit AI-populated logs against source decisions to ensure accuracy.
